MGH, a full-service marketing communications agency recognized as one of Ad Age’s 2019 and 2020 Best Places to Work, is currently seeking an Office Assistant to provide overall administrative support to agency operations and administrative support to our CEO and other department heads on an as needed basis.
What You’ll Do:
- Oversee and support all administrative functions in the office and ensure that all runs smoothly and efficiently
- Perform receptionist duties: serve as the professional first impression of the agency, receive and direct visitors, answer and direct phone calls
- Process and direct mail and package delivery; set up and maintain employee mail slots
- Establish and manage all facility management vendors, including janitorial, maintenance, catering, breakroom supplies, etc.
- Manage office supplies inventory and place orders
- Order and manage beverage and snack supplies
- Execute and set up catering orders
- Administer office key cards for employees
- Maintain a professional office appearance and arrange for all necessary repairs
- Provide administrative support to CEO and department heads when needed, including travel arrangements, scheduling appointments, conducting research and support on special projects including office events
- Provide additional administrative support as needed
What We Want from You:
- Minimum of 5 years of experience in an administrative office support role working in a professional environment
- Proficiency with Microsoft Office and Google Applications
- Excellent verbal and written communication skills, including spelling and grammar skills
- Exceptional interpersonal skills, with a focus on rapport-building
- Self-starter who is flexible, adaptable, and able to work professionally with a variety of personalities
- Strong organizational and time management skills
- Must be self-motivated and able to take the initiative to get the job done
- Comfortable working in a fast-paced (but also very fun) environment
